How we work
Start small. Prove it. Scale what works.
No big-bang transformation, no lock-in. Every engagement starts with a fixed-scope audit, earns the build, and only then moves to ongoing ownership. Everything runs through your client portal — scope, progress, deliverables, one place.
The engagement arc
Each step is optional until it’s earned — the audit stands on its own.
01 — Audit · 2–3 weeks
Diagnose
We map 10–15 core processes, score each for automation potential, effort and ROI, and identify your top five wins with estimated hours and dollars saved. Deliverable: a prioritised roadmap and an executive readout.
02 — Build · 4–10 weeks
Implement
We deliver the roadmap’s priority items — automations, integrations, reporting — with your team trained and handover documentation included. Scope and timeline are fixed before we start.
03 — Run · ongoing
Own it with you
Monthly health checks, break-fix and improvements — or a fractional ops & automation lead who owns the roadmap quarter over quarter. Senior ownership without the full-time hire.
Who we work with
We’re deliberately specific — a good fit makes the work compound.
- Australian companies, roughly 50–500 staff, tech or tech-enabled
- A finance/ops team of 3+ doing visibly manual work
- An exec sponsor — founder, CEO, CFO, COO or chief of staff
- At least one modern system already in the stack
- A trigger: a raise, a new CFO, audit pain, board AI pressure
- Wanting an advisor, not a body-shop contractor
Common questions
What happens in the Ops Automation Audit?
Over 2–3 weeks we map 10–15 of your core finance and ops processes, score each for automation potential, effort and ROI, and identify the top five automatable processes with estimated hours and dollars saved. You receive a prioritised automation roadmap and an executive readout. Fixed scope, fixed price.
Are you tied to any software vendors?
No. arboleda is strictly vendor-neutral — paid by the client, never the vendor. We recommend whatever fits your stack: native ERP features, Power Automate, Zapier, Make, AI tools like Claude or LangChain, or light scripting.
How long does an engagement take?
The audit takes 2–3 weeks. Implementation projects scoped from the audit typically run 4–10 weeks. Ongoing ownership is month-to-month after an initial three-month minimum.
Do we need to be “AI-ready” before starting?
No. The audit classifies your processes as safe-to-automate or not yet, and sequences the foundations first. If your data or systems aren’t ready, you’ll know exactly what to fix before spending on AI.
What does the client portal do?
It’s where your engagement lives: the intake that scopes your audit, progress against the roadmap, deliverables and documentation. One place, no email archaeology.
Ready when you are.
Create your portal account, answer a short intake, and we’ll scope your audit within 48 hours.
